After-School Enrichment Registration: A Club Launch Checklist

  • Define the complete club offer before registration opens: grades, exact dates, capacity, price, cancellation rules, and where children go before and after sessions.
  • Keep requested, waitlisted and confirmed statuses distinct, and decide exactly which step, such as a completed form and payment, confirms a place.
  • Set a launch decision date, because meeting minimum enrollment does not make a club ready without a confirmed instructor, room and transfer plan.
  • Record each child's destination after the club, and never assume a club-only child has an aftercare reservation or an aftercare child leaves directly.

To open registration for an after-school club, define the complete offer before collecting signups: eligible grades, exact meeting dates, capacity, price, cancellation rules, and where children go before and after the session. Then use a launch check to confirm enrollment, instructor coverage, the room, and dismissal arrangements. A full registration list alone does not make a club ready to run.

This guide is for school-year enrichment such as chess, art, drama or robotics. Its focus is one term's registration-to-first-session workflow. All sample clubs, counts and decisions below are fictional, and any capacity must be checked against your actual staffing, space and applicable requirements.

Make the club offer specific enough to operate

A family should not need to infer whether “Tuesday robotics” includes the school's early-release Tuesday or whether aftercare is provided afterward.

Before publishing, write down:

  • Club name and eligible grades or ages
  • First and final dates, meeting weekdays, and excluded dates
  • Session start and end times
  • Location and any school-to-club transfer arrangement
  • What the fee covers and when payment is due
  • Minimum enrollment, maximum enrollment and waitlist policy
  • Withdrawal, cancellation and make-up arrangements
  • Pickup or onward-care choices and how families select them
  • A contact for questions and accessibility or support needs

Confirm the terms with the instructor or outside provider. A school and provider may have different assumptions about cancellation decisions, room access or escort responsibilities. Resolve those before families rely on the published offer.

For a published example, Charlotte Country Day's 2026–27 enrichment information publishes registration dates, enrollment limits, waitlist and cancellation policies, and transition arrangements. Its specific rules belong to that school; the useful principle is making the conditions visible before registration.

Keep registration requests, waitlists and confirmations distinct

Choose statuses that accurately describe the family's position. A suggested set is:

  • Requested: The application or selection has been submitted
  • Needs review: An eligibility, document or arrangement question remains
  • Waitlisted: The family has no confirmed place yet
  • Confirmed: The program has accepted the child under the published terms
  • Withdrawn: The place has been released through the approved process

Decide what makes enrollment confirmed in your program. It might involve a completed form and payment, an administrative review, or another defined step. Do not promise a place merely because a family has joined a mailing list or started checkout.

DC Public Schools' after-school information explicitly distinguishes enrolled and waitlisted students and says attendance begins only after enrollment is confirmed. It also explains that an opening must match the relevant grade group. That is a useful example of status clarity, not a universal allocation policy.

For a paid club, keep the financial state visible too. “Confirmed” and “payment processing” may coexist if your policy permits that; neither should be silently inferred from the other.

Set a club launch decision date

Choose a point before the first meeting when the responsible lead will decide whether the club can run as offered. Base the timing on your provider agreements, school arrangements and what families need to make plans. There is no single deadline that fits every program.

Check minimum enrollment without treating it as the only condition. A class can meet its minimum but still lack a confirmed instructor or suitable room. Conversely, a below-minimum class might run if the authorized decision-maker and provider approve a revised plan.

Record the decision. Staff need to know whether to confirm, hold, cancel, or propose a change. If a material change affects families, use the required review and consent process rather than silently moving them to another club or time.

A fictional three-club enrollment review

Cedar School is preparing a six-meeting enrichment term. Its coordinator records the following hypothetical status:

These limits are fictional business-planning figures, not recommended ratios or legal capacities. The art club is not automatically ready just because ten exceeds eight: the instructor, room and transfer plan still need confirmation.

For robotics, the coordinator records who can approve running below the minimum and when the family decision will be communicated. For chess, an opening is offered according to the program's published allocation rules. A second interested child is not confirmed while the same place is being held for another family.

Avoid expanding capacity merely to empty the waitlist. Review staffing, room suitability and all applicable limits first, then document the approved change.

Reconcile the first-session roster with the school day

Give the relevant classroom, aftercare and enrichment staff the approved information they need to transfer children. A club roster and an aftercare roster answer different questions, so confirm which adult is responsible at each transition.

For each child, record the intended destination after the club: authorized pickup, confirmed aftercare, or another approved arrangement. Do not assume a club-only child has an aftercare reservation. Do not assume an aftercare child will be collected directly from the club.

When a family changes arrangements, use the established pickup authorization and school-dismissal process. An instructor should not act on an informal message that has not been verified or shared with the responsible staff.

Billing for overlapping care and enrichment is a separate policy question. Use the agreed charges and credits; a transition between groups does not by itself determine the invoice. The after-school billing guide works through club fees and care credits with hypothetical invoices.

Send a useful first-session confirmation

Check each child's actual status and destination before using the template. Send individual arrangements privately.

Questions, answered

Not unless your published allocation policy says so. Follow the rules you announced, including eligibility and any priority or grade-group requirements. An opening needs a confirmed offer and acceptance process, and a second interested child should not be confirmed while the same place is being held for another family. Any software behavior should match that written policy.

Apply the provider agreement and the family terms you published, then communicate the decision to families. Update the club roster, onward-care arrangements and financial records together. If the program proposes a replacement instructor, a changed time or an alternative service, obtain any required approval and consent rather than silently moving children to another club or time.

Choose a decision point before the first meeting, based on provider agreements, school arrangements and the notice families need to make plans. There is no single deadline for every program. Minimum enrollment is only one condition: the club also needs a confirmed instructor, a suitable room and a transfer plan. Record the go, hold or cancel decision so staff know what to tell families.
