For camp directors, this is a session-by-session task. A family may have paid for one week while another week’s balance is still due. A schedule change or approved credit can also make yesterday’s reminder inaccurate.

Build the reminder from the session record
Before contacting a family, check:
- Camp location, session name, and exact dates
- Registration or invoice reference
- Session price and any separately agreed add-ons
- Deposit received and where it was applied
- Approved credits, transfers, or other adjustments
- Completed payments and any payment still processing
- Remaining balance, due date, and authorized payer
- Recent family messages and the next planned payment action
Keep payment status separate from registration status. A completed form does not establish that a deposit was paid. A processing payment does not establish that the payment failed.

If a family booked several weeks, check each week’s charges and due dates before combining them into one reminder.
Check the camp deposit-to-balance calculation
Suppose a camp applies its deposit toward the total session price. These amounts and terms are hypothetical:

The deposit is part of the $640 total in this example. Adding it as another charge would overstate what the family owes.
Now suppose a $440 payment is processing. Staff should monitor that attempt rather than send another request to pay $440. If the attempt fails, check whether a retry or replacement payment is underway before asking the family to act.
Your camp may treat a registration fee differently from a deposit. Use the terms the family agreed to, and label those items clearly.
Decide which reminder belongs in the queue

Assign one staff member to own each unresolved account. Record the last contact and next review date so the registration desk and finance team do not chase the same family independently.

1. Deposit not yet recorded
Subject: Deposit step for [camp session and dates]

Under the registration terms, the next step is [specific action] by [date, time, and time zone]. Please review your registration and payment details through [usual secure portal].

Use the correct registration status. Do not call a place “confirmed” or “held” unless that matches the camp’s actual terms and record.
2. Balance due soon

Do not add new fees or announce a canceled place through a routine reminder. Any consequential registration decision needs its own review against the agreed terms.
4. Payment processing

Please do not submit a duplicate payment for this amount while we check the result. We’ll review the status again on [date] and contact you if any action is needed.

Make one final check before a session starts
Review unresolved accounts alongside your camp roster readiness check, but keep their statuses distinct.
For each account, record the session, verified balance, payment status, last contact, owner, and next action. Check for a moved session, payment received by another staff member, or approved adjustment before marking the case ready for a decision.
Send each family a private message. A group announcement can explain a general payment deadline without exposing individual balances.
