Childcare Software Requirements Template for Directors

- Describe required outcomes and acceptance tests, not just feature names.
- Keep unverified claims and future features marked unresolved.
- Record the cost basis, launch conditions and decision owner.
A childcare software requirements brief should describe the work your program needs to complete and the evidence that will show it works. A list of feature names leaves too much open to interpretation. “Enrollment” could mean an inquiry form, an approved offer or a complete first-day record.

Use this template before booking demonstrations. It gives your office, classroom team and decision-makers a shared set of questions. The software selection guide covers the wider purchase process and cost worksheet.
Write a short program brief
Record the program kind, locations in scope, intended users, target start date and person who can approve the purchase. Identify any existing agreement that affects the transition. State which program is being evaluated; do not assume that settings or workflows carry unchanged between a preschool and a camp.
List the tasks causing difficulty now. Use an observable description: “The office retypes a child's requested schedule after the family submits a form.” That is more useful than “We need better automation.”
Keep assumptions visible. An export that has not been inspected, a payment workflow that has not been demonstrated and a promised future feature are unresolved items.
Use the requirements sheet
| Task | Required outcome | How to test it | Decision owner | Evidence and result |
|---|---|---|---|---|
| Enrollment | Office can distinguish requested and confirmed places | Follow a fictional request through review and confirmation | Enrollment lead | Record demonstration and open questions |
| Daily reports | Teacher can review the right child's report before sharing | Correct a fictional entry and inspect the recipient | Classroom lead | Record observed behavior |
| Attendance | Staff can record arrival and correct an error through the approved path | Run normal and mistaken-entry scenarios | Director | Record the correction trail |
| Billing records | Office can explain a sample invoice and its payment status | Trace fictional charges, payments and adjustments | Billing lead | Record reconciliation result |
| Exit and export | Program understands how to obtain needed records | Inspect an available export and its contents | Program owner | Record format and gaps |
Add a priority column: required before launch, useful later or outside scope. If a required item fails, the decision record should show who resolved it and how. A high score on optional features should not hide an unresolved launch requirement.
Ask for evidence, not a yes-or-no answer
For each task, ask the demonstrator to show the normal case and an exception. What happens when a form is incomplete? What does a staff member with limited responsibilities see? How does the office distinguish a pending payment from a completed one?
Use fictional records and an approved demonstration environment. Do not upload real child or family records just to evaluate a feature. The online enrollment form review provides a concrete family-side test.
For data handling, ask what information is collected, who can reach it, how access is removed and what happens at exit. The FTC's business information guide recommends understanding the information you hold and limiting retention and access to what the business needs. Have the appropriate person review the actual terms and security documentation.
Give the board a decision record
Summarize what was demonstrated, the full quoted cost basis, open requirements, responsible owners and the proposed rollout sequence. Attach the worksheets rather than burying uncertainty in an enthusiastic summary.
A useful decision line is: “Proceed after [requirement] is demonstrated and [owner] approves [evidence].” Avoid calling something complete when the team has only heard that it is planned.
Keep implementation work in the decision. Record who will review imported records, train staff and support families. Use the staff training checklist to estimate that work from real tasks.
Bring the brief to a demonstration
Bloomily's demo is a place to work through your program's requirements. Choose the tasks that matter to your team, retain the results, and resolve any required gap before setting a launch date.
