Bloomily vs. When I Work
Choose Bloomily when staff hours belong beside your children and families, with preschool ratios from real check-ins and camp check-in on iPhone. When I Work builds childcare schedules around classrooms, age groups and daily attendance, so ask where its attendance count comes from.

When I Work in its own words
When I Work says it helps you "schedule shifts, track time, and message your team in one app" (When I Work). It is a staff scheduling tool, with industry pages for childcare and for seasonal work such as camps.
Its childcare page says it helps you "schedule staff, assign coverage by room, and adjust staffing as needed." It describes schedules built around classrooms, age groups and daily attendance, and hours recorded across rooms, shifts and coverage changes. Its messaging is "a childcare communication app for staff" that keeps messages inside the schedule. The same page speaks to preschools and after-school programs (When I Work for childcare). Its seasonal page is about coordinating "counselors, activity leaders, and operations staff throughout the camping season" (When I Work seasonal).
The time clock captures GPS location for each punch and uses geofencing so staff clock in only on site. Managers can compare scheduled and worked hours side by side (When I Work time clock). The pricing page lists prices per user per month. It also offers new customers their first six months of Rippling free (When I Work pricing).
Where Bloomily fits a preschool or camp better
When I Work's childcare page is about scheduling the adults. Bloomily schedules them too, and counts the staff and children in each room from real check-ins.
Ratios from real check-ins (preschools). Each room shows who is in it and whether it has enough teachers (Bloomily for preschools). The count comes from real check-ins of children and staff, not from the schedule (Bloomily classrooms). Families check in at a tablet by the door with the last 4 digits of their phone and a PIN. Staff can always check a child in by hand (Bloomily check-in).
Counselors with their campers (camps). Counselors check campers in and out from the staff app on iPhone. Campers sit in groups, and counselors share a photo album with each group (Bloomily camp registration). Families see their group's album in the app (Bloomily for camps).
Staff hours on the same records. At 7:30 AM you see who opens, who called out and which room still needs a teacher (Bloomily for preschools). Staff clock in from a phone or the tablet at your door. Breaks are tracked, overtime adds itself up, and timesheets export a payroll-ready CSV for whoever runs your payroll (Bloomily staff time).
Certificates and families. CPR and First Aid are tracked for each person and flagged before they lapse (Bloomily for staff). Families write to your team from the parent app. A parent sets their language once: your messages arrive translated, and theirs come back in yours (Bloomily communication).
Using When I Work and Bloomily together
When I Work fits a team that needs shifts, a time clock and staff messages, and keeps children and families somewhere else. Its childcare page builds schedules "around classrooms, age groups, and daily attendance." Ask where that attendance comes from. If it is typed in each morning from another system, count that as a daily job. In a preschool, Bloomily reads ratios from real check-ins instead.
If you keep both apps, pick one time clock, so you never keep two sets of hours. Bloomily does not run payroll. Its CSV goes to whoever runs your payroll, so ask how hours would reach your payroll company from each app.
Moving from When I Work to Bloomily
When I Work holds your team. Bloomily's import starts with your families. Bring the list you keep today, as it is. AI help does the reading. A spreadsheet, another system's export, a PDF or a photo of a paper list. It reads children, families and pickup people, and nothing saves until you approve it. Your staff are not part of that import.
When you are ready, send each family one invite. Their child is already on their account. Keep your old system running beside Bloomily as long as you like (Switching to Bloomily).
Questions to ask in both demos
- Where does the daily attendance for room coverage come from: real check-ins, or numbers entered from another system?
- Can ratio rules be set by age group, with a warning when a room is short?
- Can CPR and First Aid be tracked per person, with a warning before each one lapses?
- Can a counselor see their own group and check campers in on a phone?
- Is there anything for families, such as messages, photos or daily reports?
- Can a pay period's timesheets be locked, with a record of every edit?
- How is the price counted, and does time tracking cost extra?
