Bloomily vs. ChildPilot
Choose Bloomily when your center or after school program wants district calendars, pickup PINs and translated family messages beside tuition and check-in. ChildPilot describes enrollment, live ratios, Gusto timesheets and subsidy attendance sent to KinderConnect in several states, so compare the state and payroll links you rely on.

ChildPilot in its own words
ChildPilot calls itself "the childcare platform that puts families, staff, and children first, with custom billing, enrollment, and reports built around your program" (ChildPilot). It serves childcare centers across one or many locations, before and after school programs, and drop-in care and camps. Eligible Texas in-home programs can use it at no cost through the Texas Workforce Commission (ChildPilot).
Its home page lists an inquiry form for your website, a leads pipeline, tour scheduling, registration with custom forms and e-signatures, waitlists and deposits. It also lists subsidy-friendly workflows, PDF and CSV report exports, and AI message drafting "in your voice." Its center page includes lesson plans, daily reports and "real-time ratio visibility" (ChildPilot for centers). ChildPilot sends attendance records to state agencies through KinderConnect each week. Texas, Missouri, New York and Virginia are active, and Oklahoma is coming soon (ChildPilot KinderConnect). Its timesheets connect directly to Gusto (ChildPilot Gusto). Its FAQ says year-end tax statements live under Billing (ChildPilot FAQs).
Where Bloomily fits a childcare center or after school program better
Bloomily is built around the hours your program runs, from the morning door to the last pickup.
After school on the school's calendar. Before care, after care and early-release days sit on your district's calendar (Bloomily for before and after school). The school calendar holds no-school days, early release and late starts. Care windows set the hours you run (Bloomily after school software).
Pickups the office can see. Parents add pickup people, each with their own PIN. The office sees each one and can remove them. Attendance shows who arrived, who went home and who picked them up. Set your late fee once. Each late pickup waits on Today for you to charge or waive (Bloomily for before and after school).
Live ratios in the center. Families check in at a kiosk with the last 4 digits of their phone and a PIN. Or they show a QR code from the family app, and staff can always check a child in by hand (Bloomily check-in). Each room shows who is in it and whether it has enough teachers (Bloomily for preschools).
Messages in each family's language. A parent sets their language once. Your messages arrive translated, and theirs come back in yours (Bloomily communication). AI help drafts from your own records, and you approve before anything goes out (Bloomily AI help). Families read it all in the parent app on iPhone or Android (Bloomily for parents).
What to check if you rely on KinderConnect or Gusto
If your state's subsidy attendance goes through KinderConnect, look closely at this part. ChildPilot's page says it submits attendance to state agencies weekly, in four active states. In Bloomily, a subsidy invoice splits the agency's share from the family's, and you still file your claim with the agency (Bloomily daycare management). Ask both companies to walk one subsidy week from check-in to the agency's records.
If you run payroll in Gusto, ChildPilot's timesheets connect to it directly. In Bloomily, staff clock in from a phone or the tablet at your door, and breaks and overtime are tracked. Timesheets export a payroll-ready CSV for whoever runs your payroll. You download it and upload it there (Bloomily timesheets). Ask each company to show one real pay period, from clock-in to the file your payroll company receives.
ChildPilot also lists year-end tax statements and lesson plans. If you use them today, bring a sample of each and ask both companies to produce the same thing.
Moving from ChildPilot to Bloomily
ChildPilot's FAQ says you can cancel at any time and your data remains exportable (ChildPilot FAQs).
Bring the list you keep today, as it is. AI help does the reading. That can be a spreadsheet, another system's export, a PDF or a photo of a paper list. Nothing saves until you approve it.
When you are ready, send each family one invite. Their child is already on their account. Keep your old system running beside Bloomily as long as you like (Switching to Bloomily).
Questions to ask in both demos
- What does it cost per center or per child, and are there setup fees?
- How are card and ACH processing fees set, and can families cover them?
- How do early-release and no-school days change the afternoon roster?
- Can parents add pickup people with their own PINs, and can the office remove them?
- How does a late pickup turn into a fee the office can charge or waive?
- Which state subsidy systems does attendance reach, and how is the family's share billed?
- Do messages translate both ways between staff and parents?
Which one fits your program
Choose Bloomily when you want the school calendar, pickups, live ratios and translated messages working with tuition and check-in. If your subsidy attendance goes through KinderConnect or your payroll runs in Gusto, ChildPilot's pages speak to that.
