Bloomily vs. QuickBooks Online
Choose Bloomily for the family side of tuition or camp money: autopay, deposits, one family balance and a parent app for paying. QuickBooks Online describes invoicing and accounting tools, so you can keep it for your books and give your accountant Bloomily's exports.

QuickBooks Online in its own words
QuickBooks introduces its invoicing with "Automate invoicing for your small business" (QuickBooks invoicing). It is accounting software with invoicing and payments built in. Its daycare page sits on its Singapore site and says it offers "accounting solutions tailored to suit daycare providers" (QuickBooks Singapore).
Recurring invoices can auto-send every day, week, month or year. You can collect deposits ahead of time, and progress invoicing takes payments over time on the Plus and Advanced plans. Customers pay online without a QuickBooks account, and automated reminders help avoid late payments (QuickBooks invoicing).
QuickBooks Payments can charge customers on a set schedule (QuickBooks Payments). Autopay lets customers pay recurring invoices automatically, by card or ACH. QuickBooks Payments is required for Autopay, and the help page sets a top invoice amount for it (QuickBooks Autopay help). The Free plan sends up to two invoices a month. Businesses that qualify for and turn on QuickBooks Payments get unlimited invoices (QuickBooks pricing).
Where Bloomily fits a preschool or camp better
QuickBooks bills a customer. Bloomily starts from the child, and the bill follows from enrollment or the camp weeks a family picked.
Preschool tuition. Tuition bills on your charge day, and families on autopay pay without a nudge. You see what came in and who still owes (Bloomily for preschools). Invoices generate on your schedule, with tuition, fees, discounts and subsidy splits already itemized. Late fees come with grace periods, and reminders go out by email and SMS (Bloomily billing). Revenue reports, aging reports and payment history sit beside a year-end statement with every payment and your tax ID (Bloomily childcare billing).
Camp weeks. A family picks the weeks it wants, and each week keeps its own price. Families can pay in full, pay a deposit, or use a payment plan. Sibling discounts, early-bird prices and promo codes apply at checkout (Bloomily camp registration). The balance bill is made for you, due the Friday before the week (Bloomily features). You set the notice period and any withdrawal fee, and partial refunds calculate on their own (Bloomily programs).
One family, one balance. Each family gets one autopay, one statement and one history, however many children it has (Bloomily billing overview). Families view invoices, pay and set up autopay from the parent app (Bloomily parent app). When an autopay fails, the family is asked to update their card, and the payment retries on its own (Bloomily billing).
Money into your own account. When a family pays, the money goes to your own Stripe account, not to a Bloomily account. Families pay by card or bank transfer, and your program decides who covers the processing fee (Bloomily payments).
Using QuickBooks Online and Bloomily together
Bloomily has no QuickBooks connection. It gives exports for your accountant (Bloomily billing overview). Its thirty reports cover attendance, money, enrollment and more, and export to CSV or PDF (Bloomily reports).
That leaves a clear split. Bloomily runs the family side: enrollment, bills, autopay and the parent app. QuickBooks keeps the books your accountant works in. Ask your accountant which exports they want, and how often.
Send each family's bill from one tool only. If both Bloomily and QuickBooks send invoices, families get two bills for the same month.
Maybe you bill a handful of families the same amount each month, and attendance and forms live elsewhere. Then QuickBooks' recurring invoices and Autopay may be enough on their own.
Moving from QuickBooks Online to Bloomily
Keep QuickBooks for your books. What moves is the family side. Bring the list you keep today, as it is. AI help does the reading. A spreadsheet, another system's export, a PDF or a photo of a paper list. It reads children, families and pickup people, and nothing saves until you approve it.
When you are ready, send each family one invite. Their child is already on their account. Families add a card when they first pay, and can save it for autopay. Keep your old system running beside Bloomily as long as you like (Switching to Bloomily).
Questions to ask in both demos
- How does a family's monthly tuition bill change when their child's enrollment or schedule changes?
- How does a camp week's capacity and waiting list connect to the bill a family gets?
- How does autopay work for a family with a large combined bill?
- How does a sibling discount apply when a second child registers for camp?
- How does a family get a year-end statement of childcare payments for a dependent-care FSA?
- Which exports does your accountant get, and in what format?
- How do staff record check-in, check-out and approved pickups?
