Bloomily vs. iCare

Choose Bloomily when your preschool or after-school program wants check-in, tuition, translated messages and a parent app working together. iCare describes software custom-fitted to each program's rules, with subsidy, CACFP and bus routing tools, so check which ones you need.

iCare in its own words

iCare calls itself "Childcare Management Software Custom-fitted to your business model, rules, and processes" (iCare). Its site says "Since 1997." It serves centers and preschools, camps and drop-in care. Its before and after school page speaks to multi-site operations (iCare before and after school).

On billing, iCare's home page describes a rate chart that "supports multi-child discounts, hourly/daily rates, subsidies, and extra charges like late pickups." It says the card processing fee can pass to parents if your state allows. Enrollment links to billing and payment setup automatically (iCare enrollment). Its CACFP audit page lists tracking of subsidy vouchers and co-payments, and geofenced check-ins for attendance (iCare CACFP audits). The home page also describes staff scheduling tied to attendance-based ratios and lesson planning tied to developmental milestones. It describes bus routing with live GPS tracking too (iCare).

Where Bloomily fits a center or after-school program better

Bloomily is built for the people at the door, in the rooms and at home, with tuition connected to the same records.

Check-in that families and staff share. Families check in at a tablet by the door with the last 4 digits of their phone and a PIN. Or the family app shows a code, and the kiosk reads it (Bloomily check-in). Parents add pickup people, each with their own PIN, and the office can remove them (Bloomily for before and after school). Families are notified when their child is checked in or out (Bloomily parent app).

After school on your district's calendar. Before care, after care and early-release days follow your district's calendar. Set your late fee once, and each late pickup waits on Today for you to charge or waive (Bloomily for before and after school). Your school calendar holds no-school days, early release and late starts (Bloomily after-school software).

Rooms and the day in a preschool. Each room shows who is in it and whether it has enough teachers. At 3:30 PM teachers finish the day's report and add photos. Families get it in the app and by email (Bloomily for preschools).

Families in their own language. A parent sets their language once. Your messages arrive translated, and their replies come back in yours. Broadcasts go out by push and email, and quiet hours never hold an urgent message (Bloomily communication).

Tuition that collects on its own. Tuition bills on your charge day, and families on autopay pay without a nudge (Bloomily for preschools). When a card fails, the family gets a prompt to update it, and the payment retries on its own (Bloomily billing).

What to check if you rely on iCare's configured billing

iCare's pages lead with configuration around your rules. If your rates are complex, test that first. Write down three real families: one with two children, one on a subsidy and one with a late pickup. Ask both companies to produce those three bills.

In Bloomily, invoices itemize tuition, fees, discounts and subsidy splits (Bloomily billing). A subsidy invoice splits the agency's share from the family's, and you still file your claim with the agency (Bloomily daycare management).

Some jobs on iCare's pages sit outside Bloomily. Bloomily does not make bus lists or track buses, and it does not run the CACFP food program. If either matters to you, weigh iCare's tools for them.

Contract terms differ too. iCare's pricing page describes a three-month trial, then "move to an annual plan or walk away" (iCare pricing). Bloomily's plans are month to month (Bloomily).

Moving from iCare to Bloomily

Bring the list you keep today, as it is. AI help does the reading. That can be a spreadsheet, another system's export, a PDF or a photo of a paper list. Nothing saves until you approve it.

When you are ready, send each family one invite. Their child is already on their account. Keep your old system running beside Bloomily as long as you like (Switching to Bloomily).

Questions to ask in both demos

  • When the card fee is passed to families, how is it shown before they pay?
  • Is there an implementation or setup fee for a program our size, and what does it cover?
  • Is there a public website or enrollment page that families sign up through?
  • Can a director see room ratios from real check-ins of children and staff?
  • How are early-release and no-school days set up for before and after care?
  • Does it produce year-end statements families can use for a dependent care FSA claim?
  • Can families and staff message each other in each family's own language?

Which one fits your program

Choose Bloomily when you want check-in, rooms, family messages and tuition to work as one system. If you need software fitted to many program types, bus routing or CACFP audit records, iCare's pages speak to that. See Bloomily for preschools, Bloomily for before and after school, Bloomily's preschool pricing and Bloomily's after-school pricing.

Questions, answered

Is Bloomily a good iCare alternative for a childcare center?

Yes, when you want check-in, rooms, daily reports, tuition and family messages to work as one system. In Bloomily, each room shows whether it has enough teachers, and families get the day's report with photos in the app. If your rate rules are complex, compare that part closely.

Does Bloomily work for before and after school programs?

Yes. Before care, after care and early-release days run on your district's calendar, and your school calendar holds no-school days and late starts. Parents add pickup people, each with their own PIN, and each late pickup waits for you to charge or waive the fee.

How much does iCare cost?

iCare's pricing page says all prices are per location, per month, and sets each price by how many children you serve. For a childcare center with under 70 children, it lists $129. It also says a one-time implementation fee applies, depending on your program's size and structure. Bloomily's prices are on its pricing pages.

Does Bloomily do bus routing?

No. Bloomily does not make bus lists or track buses. iCare's home page describes automated student routing, live GPS tracking and boarding verification, so compare that closely if you run buses.

Can I move my records from iCare to Bloomily?

Yes. Bring the list you keep today, as it is: a spreadsheet, another system's export, a PDF or a photo of a paper list. AI help does the reading, and nothing saves until you approve it.
