Bloomily vs. Microsoft Forms

Choose Bloomily when Microsoft Forms and Excel now run your whole season or school year: camp weeks with set places, tuition on autopay, check-in at the door and messages to families. Microsoft Forms makes polls, surveys and forms with branching questions and exports to Excel, so check its response and upload limits for your account.

Microsoft Forms in its own words

Microsoft describes Forms as a way to "create surveys and quizzes in minutes" (Microsoft Forms). Its page says you can "get quick feedback with a poll or collect more detailed information with branching questions." Responses export to Excel for analysis, and Forms works "from any web browser, on any device." Forms is part of Microsoft 365. Programs use it for registration forms, permission forms and parent surveys.

Microsoft's limits page explains how many responses a form can take. On a free personal Microsoft account (Hotmail, Live or Outlook.com), a form can receive up to 200 responses. A paid personal account raises that to 1,000. The same page lists much higher limits for work and school accounts. When a form needs more room, Microsoft suggests exporting the responses to an Excel workbook and clearing them from the form (Microsoft Forms limits). File-upload questions are available when only people in your organization can respond, with up to 10 files per question (Microsoft file uploads). For more advanced branding and analysis, Microsoft points to a separate product, Dynamics 365 Customer Voice (Microsoft Forms limits).

Where Bloomily fits a camp, preschool or aftercare program better

Microsoft Forms gathers answers, and Excel helps you sort them. A season or a school year asks you to act on those answers every day. Bloomily is built for that part.

Registration that knows your limits. For camps, families register from your camp's own page and pay a deposit. Each week has its own capacity, and a full week keeps a waiting list (Bloomily for camps). A family picks exactly the weeks it wants, and each week keeps its own price (Bloomily camp registration). For preschools and aftercare, one enrollment pipeline holds offers, forms and waitlists, and waitlists promote the next family (Bloomily enrollment).

Forms on each family's record. Preschool and aftercare applications take custom fields, uploads and digital signatures, with status emails that keep each family informed (Bloomily online enrollment). For camps, forms collect health notes, emergency contacts, pickup people, shirt size and waivers (Bloomily camp registration). Camp families fill in and sign those forms from the family app (Bloomily features).

Bills that collect on schedule. Families pay by card or bank transfer, and the money goes to your own Stripe account (Bloomily payments). For preschools and aftercare, invoices generate on your schedule and autopay collects (Bloomily billing features). For camps, weeks and add-ons land on one family balance with one autopay (Bloomily programs). Aftercare programs set a late fee once, and each late pickup waits for you to charge or waive (Bloomily for aftercare).

Who is here, and who picked them up. Families check in at a tablet by the door with the last 4 digits of their phone, then a PIN (Bloomily check-in). In aftercare, attendance shows who arrived, who went home and who picked them up. Before care, after care and early-release days sit on your district's calendar (Bloomily for aftercare). For camps, counselors check campers in and out from the staff app on iPhone (Bloomily camp registration).

Updates in each family's language. Messages arrive translated into each parent's language, and replies come back in yours (Bloomily communication). Families use the parent app on iPhone or Android (Bloomily for parents).

When Microsoft Forms is enough

Microsoft Forms fits well when the job is a single form. Think of a quick poll after a family event, a staff feedback survey or a form your own team fills in. If your program already works in Microsoft 365, Forms and Excel may be all those jobs need.

You may have outgrown it when:

  • You sort an Excel export each week to see who is coming.
  • Families send documents by email, apart from the form.
  • A separate list tracks who has paid and who still owes.
  • Morning attendance lives on a clipboard.

If you keep Forms for some jobs, check your account type. The response limits on a personal account are much lower than on a work or school account.

Moving from Microsoft Forms to Bloomily

Bring the list you keep today, as it is. AI help does the reading. That can be a spreadsheet, another system's export, a PDF or a photo of a paper list. Your Excel export works as it is. Nothing saves until you approve it.

When you are ready, send each family one invite. Their child is already on their account. Keep your old system running beside Bloomily as long as you like (Switching to Bloomily).

Questions to ask before you choose

  • How will a family pay a camp fee, a deposit or tuition when they sign up?
  • How will a week or class stop taking registrations when it is full?
  • How will families outside your organization send documents such as health forms?
  • How will staff check children in and out, and who will see that record?
  • How will the office pull a roster for one group, one room or one week?
  • How will families receive messages from their child's teacher or counselor?

Which one fits your program

Keep Microsoft Forms for polls, surveys and forms your own team fills in. Choose Bloomily when registration, bills, check-in and family messages need to stay tied to each child. See Bloomily for camps, preschools and aftercare, with pricing for camps, preschools and aftercare.

Questions, answered

Is Bloomily a good Microsoft Forms alternative for a camp or preschool?

Yes, when your forms and Excel sheets now run a whole season or school year. For camps, each week in Bloomily has its own capacity and waiting list. For preschools and aftercare, tuition bills on your charge day, and families on autopay pay without a nudge.

Can families upload documents to Microsoft Forms?

Microsoft's help page says file upload is available when only people, or specific people, in your organization can respond. Each upload question takes up to 10 files. In Bloomily, preschool and aftercare enrollment forms take uploads and digital signatures from families, attached to the family's record.

How many responses can a Microsoft Form take?

It depends on the account. Microsoft's limits page says a form on a free personal Microsoft account can receive up to 200 responses. On a paid personal account, the limit is 1,000. The same page lists much higher limits for work and school accounts, so check which account your program uses.

How much does Microsoft Forms cost?

Microsoft's Forms page shows no separate Forms price. Its pricing section points to Microsoft 365 plans and pricing. Bloomily publishes one price per location on its pricing pages.

Can I bring my Excel sheet into Bloomily?

Yes. Bring the list you keep today, as it is: a spreadsheet, another system's export, a PDF or a photo of a paper list. AI help does the reading, and nothing saves until you approve it.
