Bloomily vs. Spreadsheets

Choose Bloomily when your preschool, camp or aftercare program needs payments, check-ins and messages on each family's record, not retyped into a sheet. Google Sheets and Excel are collaborative spreadsheets, and Excel offers templates for timesheets, invoices and schedules, so keep them for the jobs a sheet does well.

Spreadsheets in their own words

Microsoft describes Excel as a way to "make data more insightful with free, online, collaborative spreadsheets." It says Excel for the web is free for anyone to use online, and it offers templates for over 40 categories (Microsoft Excel). Google says anyone with a Google Account can create in Sheets, though some Gemini features need a Workspace plan. Several people can edit the same sheet at once, and Sheets works without an internet connection. It can also open Excel files without making a copy (Google Sheets).

Programs often use these tools for rosters, sign-up lists, bills and staff hours. Microsoft's templates include timesheets that log hours, breaks and overtime (Excel timesheet templates). They also include invoices that calculate totals automatically (Excel invoice templates) and weekly schedules for class planning (Excel schedule templates). Google Forms responses can go to Sheets for deeper analysis (Google Forms).

Where Bloomily fits your program better

A spreadsheet holds what someone types into it. In Bloomily, a payment or a check-in is recorded when the family makes it.

Sign-ups that become records. For a preschool or aftercare program, families finish online enrollment forms with custom fields, uploads and digital signatures (Bloomily online enrollment). For a camp, families register from your page and pay a deposit, and each week has its own capacity (Bloomily for camps).

Payments that land on the family's balance. Families pay by card or by bank transfer right in Bloomily (Bloomily FAQ). Preschool and aftercare tuition bills on your charge day, and you see what came in and who still owes (Bloomily for preschools). Camp deposits come in at registration, and the balance bill is made for you (Bloomily for camps). If an autopay fails, the family gets a prompt to update their card, and the payment retries on its own (Bloomily billing).

A door that keeps its own sign-in list. Families check in at a tablet by the door with the last 4 digits of their phone, then a PIN (Bloomily check-in). Parents add pickup people, each with their own PIN, and the office can remove them (Bloomily for aftercare). Families are notified when their child is checked in or out (Bloomily parent app).

Families who hear from you. Your messages arrive translated into each parent's language, and replies come back in yours. Broadcasts go out by push and email (Bloomily communication). Families use the parent app on iPhone and Android (Bloomily for parents).

Staff hours without a template. Staff clock in from a phone or the tablet at your door. Breaks are tracked, and overtime adds itself up. Timesheets export a CSV for the company that runs your pay (Bloomily timesheets).

When a spreadsheet is enough

A spreadsheet is a sensible place to start. Your list may be short, and families may pay you outside any system. If a few people keep the sheet, it may be all you need. Google Sheets and Excel both let several people work on the same file at once (Google Sheets, Microsoft Excel).

Keep a spreadsheet for the jobs it does well, such as a budget or a one-off list. Microsoft offers budget templates that help you monitor spending and plan savings (Excel budget templates).

The signs it is time to move are practical. You type the same family into a roster, a bill and a sign-in list. You mark payments as paid by hand. Allergies and emergency contacts need to reach the staff who need them, and no one else. In Bloomily, nine staff roles decide who sees what, and parents see only their own children (Bloomily security). You can still export your records any time, in formats you can open anywhere.

Moving from a spreadsheet to Bloomily

Your sheet is the starting point. Bring the list you keep today, as it is. AI help does the reading. That can be a spreadsheet, another system's export, a PDF or a photo of a paper list.

AI help reads children, with birthdays, allergies, dietary notes and medical notes. It also reads parents and guardians, emergency contacts and pickup people. It shows you what it found before anything saves. Rows it cannot read wait in your setup plan. Nothing saves until you approve it.

When you are ready, send each family one invite. Their child is already on their account. Keep your old system running beside Bloomily as long as you like (Switching to Bloomily).

Questions to ask before you decide

Ask these of the sheet you keep today, and of Bloomily.

  • When a family pays, who marks it paid, and where?
  • What happens on the due date when a payment fails?
  • How does a schedule change or a discount reach the next bill?
  • How does the door record the time and the person who picked up?
  • How do allergies and emergency contacts reach the staff who need them, and no one else?
  • How do families get photos and messages from the program?
  • How do staff hours become a file for the company that runs your pay?
  • How would a family get a year-end statement of payments for an FSA claim or Form 2441?

Which one fits your program

Keep your spreadsheet while the list is short and the sheet is all you need. Choose Bloomily when payments, check-ins and messages should update each family's record without retyping. See Bloomily for preschools, camps and aftercare, and the pricing for preschools, camps and aftercare.

Questions, answered

Is Bloomily a good alternative to running my program on spreadsheets?

Yes, when you find yourself typing the same family into a roster, a bill and a sign-in list. In Bloomily, families pay by card or bank transfer onto one family balance. They check in at a door tablet with a PIN and get your messages in the parent app. If your list is short and nobody pays online, a shared sheet may still be enough.

Can Bloomily import my Google Sheet or Excel file?

Yes. Bring the list you keep today, as it is: a spreadsheet, another system's export, a PDF or a photo of a paper list. AI help reads children, with birthdays, allergies, dietary notes and medical notes, plus guardians, emergency contacts and pickup people. Nothing saves until you approve it.

Are Google Sheets and Excel free?

Google says anyone with a Google Account can create in Sheets, though some Gemini features need a Google Workspace plan. Microsoft says Excel for the web is free for anyone to use online. Bloomily publishes one price per location on its pricing page.

Can I keep my spreadsheet after I switch?

Yes. Keep your old system running beside Bloomily as long as you like. You can also export your Bloomily records any time, in formats you can open anywhere.

Can staff track hours in Bloomily instead of a timesheet template?

Yes. Staff clock in from a phone or the tablet at your door. Breaks are tracked, and overtime adds itself up. Timesheets export a CSV file for your payroll company to upload.
